1. Who we are

Drive Matrix LLC ("Drive Matrix," "we," "us") operates drivematrix.com and provides freight brokerage and auto parts sales to customers in the United States. This policy explains how we handle personal information collected through the website, by phone, and by email.

2. Information we collect

Information you give us

• Contact details: name, company, email address, phone number, and shipping or billing address.
• Shipment details: origin and destination, commodity description, weight, pallet counts, pickup and delivery windows.
• Parts details: vehicle identification number (VIN), year, make, model, engine code, and the part requested.
• Payment information: processed by our payment processor. We do not store full card numbers on our systems.
• Carrier onboarding documents: MC and USDOT numbers, W-9, certificates of insurance, and remittance details.

Information collected automatically

• Device and browser type, operating system, and screen size.
• IP address and approximate location derived from it.
• Pages viewed, referring URL, and time spent on the site.

Information from other sources

• Carrier safety and authority data from FMCSA and third-party monitoring services.
• Credit reporting agencies, where a customer applies for payment terms.
• Parts suppliers and salvage networks, for inventory and fitment lookups.

3. How we use it

We use personal information to quote and arrange freight, source and ship parts, verify fitment against a VIN, process payments, onboard and monitor carriers, prevent fraud, respond to your questions, meet legal and recordkeeping obligations, and improve the website. We do not sell personal information.

4. When we share it

We share only what is necessary to complete the work you asked for:

• Motor carriers and drivers receive pickup and delivery details needed to move your freight.
• Parts suppliers and salvage yards receive vehicle details needed to locate and confirm a part.
• Service providers such as payment processors, email and hosting providers, and transportation management software vendors, under contracts limiting their use of the data.
• Insurers and claims adjusters when a cargo claim is filed.
• Legal and regulatory recipients where required by law, subpoena, or to protect our rights or the safety of others.
• A successor entity in a merger, acquisition, or sale of assets.

5. Cookies and tracking

We use strictly necessary cookies to keep the site working, and analytics cookies to understand which pages get used. If we run advertising, advertising cookies may be set by those networks. You can block or delete cookies in your browser settings; strictly necessary cookies cannot be turned off without breaking parts of the site. We honor Global Privacy Control signals where required by law.

6. How long we keep it

Shipment and transaction records are retained for at least three years to meet federal transportation recordkeeping requirements. Quote requests that do not become orders are retained for 24 months. Carrier onboarding files are retained for the length of the relationship plus four years. Marketing contacts are retained until you unsubscribe.

7. How we protect it

We use TLS encryption in transit, role-based access controls, and vendor agreements requiring comparable safeguards. No method of transmission or storage is completely secure, and we cannot guarantee absolute security. If a breach affects your personal information, we will notify you as required by applicable law.

8. Your rights

Depending on where you live, you may have the right to request access to the personal information we hold about you, correction of inaccuracies, deletion, a portable copy, and to opt out of targeted advertising or the sharing of your information. To exercise any of these, email privacy@drivematrix.com. We will verify your identity before acting and respond within the timeframe the applicable law requires. You may appeal a denial by replying to our response.

9. California residents

Under the CCPA as amended, California residents have the rights described above, plus the right not to receive discriminatory treatment for exercising them. In the preceding twelve months we have collected the categories of information listed in section 2 for the purposes listed in section 3. We do not sell personal information and do not knowingly share it for cross-context behavioral advertising.

10. Children

The site and our services are meant for business use by adults. We do not knowingly collect personal information from anyone under 16. If you believe a child has provided us information, email us and we will delete it.

11. Changes and contact
